As the Business Manager, you will be responsible and accountable for the Business Office, you are a key member of the school leadership team, and work in conjunction with the Head and School and Board of Directors to ensure successful school finances and operations. You report directly to the Board of Directors for identified areas of strategy, finance, and compliance, and to the Head of School for day-to-day operational and management responsibilities as delegated.
Your main responsibilities :
- Oversee the several departments of the Business Office and provide leadership for daily operations and strategic initiatives within the remit of the Business Office. You will create a positive working environment to make sure that the BO staff work well as a team and promotes St. John’s values and communications amongst each other.
- Ensure strong financial position of the school through work with Board treasurer, Head of School, Board finance committee and other related groups. The short and long-term financial targets and parameters will be set and reviewed by the Board on a regular basis.
- Have a strategic leadership role for ensuring long-term financial sustainability and success of the school, together with the Head of School.
- Assure that the school is in legal and financial compliance regarding all contractual obligations, and particularly you will ensure that the school is compliant with all federal, state, and local accounting requirements and respects Belgian labor, social and tax law.
- Promote the highest standards of business ethics within the Business Office and the administrative function of the school. You will promote high ethical standards and leads by example.
- Manage the deployment of non-teaching staff so as to maximize human and financial resources
- Establish and review the School Health, Safety & Security procedures and policies to ensure the school is a safe and healthy working environment
- Manage and be accountable for the performance of the Business Office and non-teaching staff through the provision of standardized recruitment and appointment procedures, orientation, appraisal and professional development
- Responsible for assessing, preparing and developing long term refurbishments and development plans of the school premises in accordance with the Campus Master Plan
Your specific responsibilities :
- Oversee the maintenance of the inventory of the capital assets of the school, and ensure that assets are maintained in proper working condition, that their condition is reviewed on a regular basis and that repair or replacement is effected whenever necessary
- Oversee the Purchasing & Procurement activities and ensure that they are in line with BO procedures and policies
- Monitor, assess and review the effectiveness and implementations of contracts and agreements, ensure that obligations are met and identify possible improvements for maximizing return
- Present, with the help of the Procurement Officer, timely and fully costed proposals, recommendations or bids for any project or major purchases
- Put formal finance agreements in place with suitable providers for agreed amounts and times
- Ensure that contractual relationships with suppliers deliver best value
- Supervise recruitment, performance evaluation, appraisal and professional development for all BO support staff
- Assure that personnel procedures and policies are appropriate, documented, properly communicated and adhered to by all staff in the school
- Ensure that all recruitment, appraisal, professional development, disciplinary and redundancy procedures and policies comply with legal and regulatory requirements and obligations
- Implement the appropriate ERP and information systems for effective operations of the school
- Communicate the strategy and relevant policies, including Data Protection for use of technology across the school
- Ensure resources, support and training are provided to enable staff to make the best use of available ICT
- Ensure contingency plans and appropriate back-up systems are in place in case of technology failure -*Liaise with the HoS to define the most appropriate IT needs for faculty and students and support the implementation, use and maintenance of the IT infrastructure
- Ensure the supervision of relevant planning and construction processes is undertaken in line with contractual obligations
- Oversee plans, equipment repairs and maintenance
Your profile :
- At least 10 years relevant experience in leading business, marketing, finance, and operations
- Proven financial experience (analysis, budgeting and forecasting, reporting, etc.)
- Knowledge and experience in Belgium landscape (accounting, fiscal and social legislation, legal, etc.)
- Experience in ERP systems implementation
- Strong people management experience and leadership
- Community and Public Relations Responsibilities
- Fluent in French and English
- Experience of school environment is a plus
- Experience in international setting or having lived abroad is a plus.
